Position Overview

One World Enterprises is seeking a detail-oriented and proactive Administrative Clerk with 2–5 years of experience to manage financial operations across multiple brands. This role is heavily focused on accounting, reconciliation, and process optimization, requiring both independent work and cross-functional collaboration.

Key Responsibilities

Daily & Weekly:

  • Manage email communications and internal requests
  • Reconcile HPay transactions with bank statements
  • Post and reconcile payments in QuickBooks and Caterease
  • Manage Accounts Receivable and client invoicing
  • Track and balance event deposits and cash bar transactions
  • Enter invoices, expenses, and credit card receipts into QuickBooks
  • Process weekly vendor payments and utility bills
  • Generate invoices through Caterease or IU PO systems
  • Prepare payroll reports and gratuity sheets
  • Maintain accurate financial records and documentation

Monthly:

  • Execute month-end invoicing and reporting
  • Reconcile bank accounts and credit card statements
  • Record fees and prepare payments to vendors (e.g., FNBO)
  • Categorize revenue accurately using Sales by Class reports
  • Calculate bar COGS based on inventory data
  • File monthly Sales and Food & Beverage tax returns

General & Strategic Responsibilities:

  • Act as liaison between brands and office operations
  • Identify opportunities to improve workflows and automate processes
  • Follow up on overdue accounts and maintain client relationships
  • Process payroll (Catering + cross-training for other brands)
  • Manage office logistics, security system, and administrative operations
  • Support and mentor entry-level staff (as applicable)

Qualifications

  • 2–5 years of administrative, accounting, or bookkeeping experience
  • Strong proficiency in QuickBooks and Excel
  • Experience with reconciliation, invoicing, and financial reporting
  • Familiarity with payroll systems (preferred: Nowsta, Paycor)
  • Strong attention to detail and problem-solving skills
  • Ability to work independently and manage deadlines
