The Grants Manager at Middle Way House is responsible for overseeing all Middle Way House grant activities, including the submission of grant applications, programmatic and fiscal reports, modifications of grant budgets, and invoices. The Grants Manager will serve as liaison between grantors and agency staff and will work collaboratively with program staff to ensure compliance with grantor guidelines.

Job Responsibilities:

  • Ensure agency compliance with all Federal, state, and local terms, rules, and regulations for each grant contract.
  • Participate in annual budgeting and planning process for the overall agency, programs within the agency, and each individual grant.
  • Submit grant applications, fiscal and program reports, modifications of associated budgets, and invoicing by grantor- and agency-set deadlines to ensure timely reimbursement from grantors.
  • Lead and work collaboratively with agency staff in coordinating budgeted grant fund spending and in meeting required in-kind and cash matches.
  • Serve as a liaison between grantors and agency staff; respond to grantor inquires on budgetary and programmatic matters.
  • Lead and work collaboratively with program staff regarding necessary program performance data collection and ensure compliance with grantor guidelines.
  • Effectively communicate and present any critical financial matters to the Accounts Manager and/or the Executive Director immediately.
  • Work closely with the Accounts Manager regarding grant reimbursements and expenditures.
  • Prepare for and assist with grantor audits, promptly respond to audits findings, implement changes and procedures as necessary, and prepare and submit all related reports.
  • Maintain grant records consistently and in a clearly organized manner.
  • Maintain collaborative relationships with grantors, and community partners.
  • Attend quarterly Finance Committee meetings and provide grant-related reporting to Board members as requested.
  • Consistently demonstrate positive, cooperative, self-motivated, courteous, and professional behavior. Work as a team member with other staff and contribute as necessary to meet agency mission, vision, and goals.
  • Perform other job-related duties as assigned.

Qualifications:

  • Grant-writing and research experience preferred.
  • Prior experience with accounting and/or financial expenditure tracking, planning, and resource allocation preferred.
  • Strong skills in basic Microsoft Office applications, especially Excel spreadsheets.
  • Ability to quickly learn agency-specific software including client-based software.
  • Ability to work well with minimal supervision both independently and as a member of a team.
  • A successful track record in setting priorities; keen analytic, organizational, and problem-solving skills which support and enable sound decision making.
  • Excellent organizational skills and the ability to manage multiple tasks and projects at once.
  • The ability to work well under pressure and deal appropriately with crisis and stress situations.
